1. Who we are

PhotoLog ("we", "us", "our") provides the PhotoLog CAP 741 Tech Log application, a tool for aviation engineers to maintain their personal logbook of maintenance tasks. By creating an account or using the application you agree to these terms.

2. Your account

You are responsible for keeping your sign-in credentials safe and for the activity that happens under your account. Each engineer is expected to keep their own private logbook — sharing your account is not permitted.

3. Acceptable use

You must not use PhotoLog to enter false, misleading or fraudulent maintenance records. CAP 741 logbook entries support real airworthiness decisions; you remain solely responsible for the accuracy of every entry you record.

4. Subscriptions, billing and discount codes

Paid plans are billed through Stripe. Subscriptions renew automatically until cancelled. Discount codes are issued at our discretion, may be limited to specific plans, may have usage caps, and may expire at any time.

5. Privacy & photo extraction

When you confirm “Send this photo”, PhotoLog sends the selected image through its server and Replit AI Integrations to Anthropic for automated extraction. Cloud scanning needs an internet connection. Only submit material you are authorised to share with these services.

The selected photo and unfinished scan details are stored in this browser as a local draft. They can remain after closing the page or signing out and may be accessible to someone else using the same browser. Server diagnostic logs include portions of extracted text and may include full extraction responses when processing fails. This can include information from your photo even if you do not save an entry.

PhotoLog has not verified a zero-retention or no-training commitment covering this Replit-managed Anthropic integration. We do not promise immediate deletion or no use for training across the processing chain. Logbook fields you choose to save are stored against your account. The scan endpoint does not create a permanent photo attachment in your logbook; local drafts, diagnostic logs and provider handling are separate. 6. Limitation of liability — your sole responsibility for accuracy

PhotoLog acts solely as a drafting and organisational tool. It helps you capture, organise and print draft logbook records. It is not a certified record-keeping system, it does not verify the accuracy of any entry, and nothing it produces constitutes an official maintenance approval. Whether a record is acceptable depends on the requirements of the relevant authority, employer or assessor, not merely on printing or signing it.

Photo extraction uses optical character recognition (OCR) and automated text analysis, which can and do make mistakes — including misread registrations, dates, part numbers, order numbers, ATA chapters and task descriptions. You must verify the accuracy of all AI-generated and automatically populated data before printing, signing, and submitting your CAP 741 logbook (or any record derived from it) to the CAA, EASA, or any other authority, employer or assessor.

AI extraction can misread or infer details and rewrite tasks in the past tense. This does not verify that work was completed or signed off. Check every field against the source and work actually performed before saving or using an entry.

PhotoLog is provided "as is" without warranties of any kind. To the fullest extent permitted by law, we accept no liability for any loss, regulatory action, licence refusal or other consequence arising from errors, omissions or inaccuracies in your logbook entries — whether typed by you or generated by extraction. Nothing in these terms excludes liability that cannot be excluded under law, such as liability for death or personal injury caused by our negligence.

7. Changes to these terms

We may update these terms from time to time. The "last updated" date above will change when we do.
